Mailing Addresses

Please  DO NOT  use the Stony Brook University main campus address as a delivery address for any residential mail as this may result in lost or misdirected mail.  The address 100 Nicolls Rd, Stony Brook, NY 11794 should be used for GPS purposes only as directions to the campus. Residential mail will  NOT  be received through this address. For guidance on properly formatting your address for voter registration, please refer to the Other Helpful Information section below.

• How to properly address packages for delivery to your assigned Residential Mailroom (Letters, online orders with standard shipping and care packages)

  When placing online orders for items eligible for pickup through the Residential Mailrooms or when communicating to friends and family the address to use when sending care packages from home, please use the format below:

• How to address items which are not eligible for Residential Mailroom services (Same-day shipping, grocery and food deliveries)

  Grocery deliveries (i.e. Whole Foods) and take out meal deliveries (i.e. DoorDash) are not eligible for Residential Mailroom services.  Items selected as "ship from store for same day delivery" (a service used by some retailers such as Amazon, Walmart, Apple Store, etc.) arrive in unmarked bags directly from the facility and are unable to be scanned for pickup through your assigned Residential Mailroom.  When ordering any such item, please coordinate delivery times with these shipping services and make arrangements to meet these independent delivery drivers directly in your Residential Community. Be sure to provide them with your phone number when placing the order.

  If there is a character limit in the "Apartment/Suite" field, use the standardized abbreviation for your Residence Hall. The abbreviation chart can be found in the dropdown below.  Please make every effort to include your Delivery ID and Residence Hall information to allow for the most efficient processing time within the Residential Mailrooms.

  If a "Company Name" field is not available, examples of alternate formatting may be found below.

• How to address packages to the Southampton campus

  All mail sent to the Southampton campus is processed in the central mailroom Monday through Friday. Upon processing, you will receive an email from "no-reply@pb.com" when your mail is ready to be picked up at the Student Center Pitney Bowes  Lockers. You will then be able to scan the QR Code from that email. If you don't see the email, be sure to double check your spam. Letters and oversize packages will be brought to the Fitness Center. You will receive an email notification from the Fitness Center attendant when ready for pick-up during the hours of the Fitness Center. 

  Please follow the below format to properly address mail to the Southampton campus:

  You may get an email from your carrier saying your mail has arrived, but it has not yet been picked up at the Post Office or by our mail services. If you have an immediate need for your mail, please use local Amazon, UPS or Fedex pick up locations for your convenience.  

  Do not use the GPS address 39 Tuckahoe Road, Southampton, NY 11968 as a mailing address as it may result in lost or delayed mail.

Parcel Locker Pick-Up Information

Self-Service Parcel Lockers are now available for residential students. The parcel locker locations are open 24 hours, 7 days a week. Please note at this time parcel lockers are not available for Mendelsohn, H, Chávez and Tubman.

• Parcel Locker Pick-Up Instructions

  Step One: Verify Your Pick-Up Location

  When your package is ready for pick up, you will receive an email with one of the following options:

  • Email with QR Code: Pick up your item at the designated Self-Service Parcel Locker kiosk indicated in the subject line of the email.
  • Email with Linear Barcode:Pick up your item at the staffed Residential Mailroom indicated in the subject line of the email during regular business hours.

  Step Two: Arrive at the Designated Pick-Up Kiosk

  Once you arrive at the designated pick-up kiosk, you have three options to retrieve your item:

  Option One: ID Card Swipe

  • Swipe your SBU ID Card at the kiosk. 
    • If your items are in a single locker, the locker will open automatically.
    • If your items are in multiple lockers, a grid of highlighted lockers will appear on the screen. Tap each highlighted locker to open and retrieve your items.
  • Note: This option is only for residents. Household members should use the QR Code or PIN option.

  Option Two: QR Code Scan

  • Tap the screen at the kiosk.
  • Scan the QR Code from your email using the barcode reader below the screen.
  • If you have multiple items, scan each QR Code individually.
  • Note: If your phone is in dark-mode, switch to light-mode for scanning or use the PIN option.

  Option Three: PIN Entry

  • Tap the screen at the kiosk.
  • Enter the PIN from your email for the locker assigned to you.
  • If you have multiple items, enter each PIN separately.

  Step Three: Retrieve Your Items

  • Once the locker opens, you may collect your items. 
  • Be sure to check all lockers and look toward the back. Items may be combined in one locker for your convenience.
  • Please gently close the locker door after retrieving your items.
• Parcel Locker Pick-Up Troubleshooting

  1. I swiped my SBU ID card, but the locker didn't open. What should I do?

  Double-check your pick-up email to verify that you're using the correct kiosk. If the issue persists, try using the QR Code or PIN option instead.

  2. The QR code won't scan. What should I do? 

  Ensure your device is in light-mode. Dark-mode can prevent the QR Code from scanning. If that doesn't work, try using the PIN option instead.

  3. Why do I have multiple items to pick up, but only see one locker opening? 

  You will receive a separate email for each item, but your items may be combined into one locker. If the PIN in each email is the same, the items are in one locker. Check toward the back of the locker to ensure you have retrieved everything. If you don’t find your second item, try scanning each QR Code or entering each PIN individually.

  4. What do I do if I closed the locker door before retrieving all of my items?

  The QR Code and PIN cannot be reused. Once the locker door is closed, the transaction is finalized. Contact a Residential Mailroom staff member for assistance in retrieving any items left behind.

  5. What happens if I miss the pick-up window? 

  If you can’t pick up your item within the reserved time frame, your QR Code/PIN will expire and your item will be moved to the Residential Mailroom. A new barcode will be emailed from the mailroom. Once you receive new barcode, your item can be picked up there during regular business hours.

  6. Can someone else pick up my package for me?

  Yes. Simply forward the pick up email containing your QR Code/PIN number to the person picking up your package.

  7. I recently moved and I no longer have ID card access to the parcel locker room where my item was assigned. How do I collect my item?

  You may reply to the pick-up email you received to request that the item be removed from the parcel locker and transferred to your assigned mailroom location. If you do not contact us within 48 hours, the locker reservation will automatically expire and the item will be removed and transferred to your assigned mailroom.

• Items Not Eligible for Parcel Locker Pick-Up

  Perishable items, oversized packages, and First Class letters are not eligible for parcel locker pick-up.

  • Yes, mailrooms remain open to support residents who are staying on campus.

  What should I do if I’m leaving campus for the break?

  • Please pick up all packages before you depart and update your shipping address to your home or off-campus address for any orders placed while you are away.

    What happens to packages received during the break?

  • All items are subject to the 14-day hold policy (48 hours for perishable items).

  • USPS items may be forwarded when eligible; please contact mailroom staff for assistance in determining eligibility.

  • All other carriers require a return shipping label or a new shipping label for rerouting. ​​​​​​​

  • If alternate arrangements are not made, unclaimed items will be returned to the sender.

• Where can I find my Delivery ID?
  Your Delivery ID can be found in the Housing Portal under Quick Links. 
• Tracking Notifications

  When you receive notifications from your purchasing agents it will likely indicate “delivered” or “delivered to agent”. This notification does not necessarily mean that mail services has your package in our possession. As a reminder, please do not pick up a package until you receive an email with a barcode from CampRes_Mailroom@stonybrook.edu. 

  If you have not received a pickup barcode within 48 hours of confirmed delivery, please send an email to CampRes_Mailroom@stonybrook.edu with the tracking number for further assistance.

• Perishable Item deliveries to the Mailrooms

  Refrigeration is not guaranteed for perishable deliveries.  When expecting a perishable shipment, please be proactive about monitoring the tracking details and plan the pickup of such items accordingly. Perishable shipments are not eligible for Self-Service Parcel Locker service.

  With the increased volume of food deliveries to the Residential Mail Rooms (especially an increase in commercial meals such as Plated, Hello Fresh, Blue Apron, etc...), we have had to initiate some additional mail delivery protocols for these very perishable packages.

  • Any Perishable Food Packages must be picked up within 48 hours of notification to the student. Out of an abundance of caution to prevent consumption of spoiled food, perishable items not retrieved within 48 hours will be discarded. These food items spoil at a very quick rate, and the mailrooms do not have sufficient refrigeration space to house the volume of these packages being delivered.
  • If you plan to be away from campus, you should avoid scheduling deliveries of any perishable items. Please speak with the vendor to arrange for a delivery date when you are around.  If the delivery date is unavoidable, and you are unable to pick the item(s) within 48 hours, please have another individual pick the item(s) up for you. Please email CampRes_Mailroom@stonybrook.edu.  requesting this accommodation and provide the name of the individual that will be picking up for you. The individual will be required to present University / government issued ID to confirm identity.
  • If a perishable package is delivered and its contents is leaking or shows evidence of spoilage, the package will be discarded by our staff immediately - even if prior to the 48-hour pickup window. In the event that a package has been discarded due to these reasons, you will receive an email notifying you of the items disposable from the Residential Mail Room staff.

  The increase in food deliveries to the Residential Mailrooms are causing problems not only for the person who ordered the items, but for the other students whose packages are being impacted by leaking or other contaminated parcels in the vicinity of their packages.

  Thank you for your anticipated cooperation to ensure the health and safety of the entire residential community.

• Forwarding Mail / Change of Address

  The U.S. Postal Service provides free domestic forwarding for First Class letters for approximately 6 months.  Since this process is handled manually by the local Post Office, please be sure to contact any person and/or agency from whom you might be expecting mail and let them know of your new mailing address. This should include any banks, government agencies, credit cards, NYS Payroll, as well as any auto-ship services.  When forwarding services expire, mail will be returned to the sender.  If we receive mail for a student who is no longer living on campus, and a forwarding address was not provided, the mail will be “Returned to Sender.”

  Mail Hold is available upon request for residents temporarily relocating. For example,  those leaving campus for the Summer Session, but moving back into the Residence Halls for the following Fall Semester.

• Voter Registration and Suffolk County Board of Elections Mailings

  If you are registering to vote or updating your voter registration with the Suffolk County Board of Elections (BOE), please use the address format associated with 100 Circle Road. This address format will be used until further notice, specifically for official BOE registration and election-related mailings, ensuring your registration remains correctly associated with your campus residence:

• Refused Shipments

  Per the Housing Terms of Occupancy, the Residential Mailrooms will not accept deliveries exceeding a total shipping weight of 50 pounds. When preparing shipments, use this as a guide to determine what size boxes or luggage you will be shipping and distribute the contents accordingly. For online orders, review product details in advance to ensure the shipment complies with this weight restriction.

  Mailroom staff are authorized to sign for incoming shipments, but will not sign for or accept deliveries that require age verification (18+ or 21+). Such items include, but are not limited to:

  • Alcohol or alcohol-related products
  • Illegal drugs
  • Hazardous or flammable materials
  • Live animals
  • Firearms or firearm-related items
  • Oversized freight deliveries (e.g., auto parts, furniture)
  • Electronics or devices restricted by age or safety regulations

  If you're unsure whether an item is restricted, please contact the shipper or retailer before placing your order. Deliveries containing dangerous or illegal items will be refused and may be referred to University Police. Items not picked up within 30 days will be returned to the sender when possible. Items that cannot be returned will be considered abandoned property.
